Privacy Notice

This notice explains how AI Coach ("we", "us") uses personal information on aicoach.org.uk and through our coaching and online courses. We are the data controller. We are operated by Iain Harris (trading as AI Coach), Flat 1 Stable House, Street Lane, Ardingly, RH17 6UA. ICO registration: [YOUR ICO REGISTRATION NUMBER].

What we collect

Enquiries: your name, email address and anything you tell us when you email us.
Subscriptions: your name, email, billing details and subscription status. Payments are handled by Stripe. We never see or store your full card number.
Course and coaching use: your account details, progress and any work or messages you share with us.
Technical data: basic information such as IP address and browser type, processed by our hosting provider to deliver and secure the site.

Why we use it, and our legal basis

To provide the services you sign up for, and manage your subscription (contract).
To reply to your enquiries (legitimate interests, or steps before a contract).
To meet tax, accounting and legal duties (legal obligation).
To keep the site secure and improve our services (legitimate interests).
To send marketing emails only if you have agreed to them (consent). You can withdraw consent at any time.

Children

Our children's courses are bought and managed by a parent or guardian, and children access them through the parent or guardian's account. We do not communicate with children directly, and we do not knowingly collect personal information directly from them. Any information we hold about a child, such as course progress, is linked to the parent or guardian's account. We collect only what we need, and we follow the ICO's Age Appropriate Design Code (Children's Code) where it applies. If you think a child has given us information without permission, email us and we will delete it.

Who we share it with

We do not sell your data. We share it only with providers that help us run the service, such as Stripe (payments), our website host (Cloudflare), our email provider and our course platform. They may only use it on our instructions. We may also share information where the law requires it.

International transfers

Some providers process data outside the UK. Where they do, we rely on safeguards approved under UK data protection law, such as the UK International Data Transfer Agreement or an adequacy decision.

How long we keep it

We keep enquiries for up to 2 years, and account and subscription records for as long as you are a customer, then up to 6 years for tax and accounting purposes. We delete or anonymise data when it is no longer needed.

Your rights

You can ask us to access, correct, delete or restrict your data, object to our use of it, or receive a copy in a portable format. You can also withdraw consent at any time. Email info@aicoach.org.uk and we will reply within one month.

If you are unhappy with how we use your data, please contact us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
